IF in Zoho Sheet: Flag orders and apply conditional logic
Learn Zoho Sheet IF with a paid-order example, a two-condition rule, checked results and troubleshooting.
Verification status: Official documentation referenced; example outcomes independently reasoned or arithmetically checked where stated. Not executed in Zoho Sheet. How formula examples are checked
Quick answer: A fulfilment status should decide how an order is labelled without manually rewriting the notes for every order. IF is a two-way decision, not a filter: it evaluates one row and returns one of two outputs.
This is a Zoho Sheet-specific tutorial, written against Zoho’s official online function reference checked on October 10, 2026. The vendor help does not identify a minimum Zoho application release for this function; a historical introduction date has not been verified. No example in this guide was run in a signed-in Zoho Sheet account. Expected outputs are independently checked against the supplied sample data.
Syntax and parameters
=IF(test; value_if_true; value_if_false)
| Parameter | Meaning |
|---|---|
test |
Expression returning TRUE/FALSE, such as C2=“Paid”. |
value_if_true |
What to return when the test passes. |
value_if_false |
What to return when the test fails. |
Reproduce the example with real data
Download the eight-row CSV dataset and import it into a blank Zoho Sheet starting at cell A1; this creates a header on row 1 and data in rows 2–9. Leave the output area outside A1:F9. If IDs or numbers were changed during import, correct their data types before continuing.
These are representative records from the downloadable dataset (the formula ranges reference all eight records):
| Row | A: Order ID | B: Region | C: Status | D: Amount | E: Agent | F: Units |
|---|---|---|---|---|---|---|
| 2 | O-101 | East | Paid | 120 | Ana | 12 |
| 3 | O-102 | West | Pending | 75 | Bo | 5 |
| 4 | O-103 | East | Paid | 210 | Ana | 7 |
| 7 | O-106 | East | Pending | 60 | Dana | 8 |
Enter the formula in a vacant cell, for example H2:
=IF(C2="Paid";"Closed";"Open")
Expected result: Closed.
Walkthrough: C2 is Paid, so the first result is selected. Copying the formula to row 3 changes C2 to C3 and returns Open for the pending order.
A second example
=IF(D3>=100;"Review";"Standard")
Expected result: Standard. Order O-102 has amount 75, below the threshold of 100. The comparison is numeric; a text amount imported from a CSV should be converted before relying on it.
More advanced use
=IF(AND(B2="East";C2="Paid");"Priority";"Standard")
Expected result: Priority. Both East and Paid are true for O-101. AND is useful when two requirements must hold at the same time; the IF branches still return ordinary labels.
A useful extension is to set H1 to the minimum review amount and use =IF(D2>=$H$1;"Review";"Standard"); the dollar signs keep the threshold fixed as the formula is filled down.
Common errors and troubleshooting
- Text must be in straight double quotes.
Paidwithout quotes is interpreted as a name, not the intended string. - Test a boundary value: with
>=100, an amount of exactly 100 goes to the first branch, but 99 does not. - Do not use IF to hide missing order information automatically. An empty status is different from an explicitly Pending status.
- If copying formulas down, relative references such as C2 change; lock fixed threshold references when needed.
Compatibility and version notes
Excel and LibreOffice also provide IF, but argument separators in examples may depend on locale. The Zoho help page writes arguments with semicolons; do not blindly copy a comma-separated example.
The examples deliberately follow Zoho’s semicolon-separated syntax. Spreadsheet software may use different argument separators based on product and locale. This guide covers the current documented Zoho function, not an unverified assertion about support in older releases.
