SORT in Zoho Sheet: Order full records by sales amount
Sort Zoho Sheet order-tracker rows by amount ascending or descending without altering the source table.
Verification status: Official documentation referenced; example outcomes independently reasoned or arithmetically checked where stated. Not executed in Zoho Sheet. How formula examples are checked
Quick answer: A sales coordinator wants to inspect the largest orders first while retaining the original entry order for auditing. SORT returns a separate dynamic array rather than rearranging the source range in place.
This is a Zoho Sheet-specific tutorial, written against Zoho’s official online function reference checked on October 10, 2026. The vendor help does not identify a minimum Zoho application release for this function; a historical introduction date has not been verified. No example in this guide was run in a signed-in Zoho Sheet account. Expected outputs are independently checked against the supplied sample data.
Syntax and parameters
=SORT(range; [sort_by]; [order]; [direction])
| Parameter | Meaning |
|---|---|
range |
The entire block of records to reorder as a new result. |
sort_by |
One-based row or column position within that block, depending on direction. |
order |
1 for ascending; -1 for descending. |
direction |
FALSE (default) sorts rows; TRUE sorts columns, according to Zoho’s documentation. |
Reproduce the example with real data
Download the eight-row CSV dataset and import it into a blank Zoho Sheet starting at cell A1; this creates a header on row 1 and data in rows 2–9. Leave the output area outside A1:F9. If IDs or numbers were changed during import, correct their data types before continuing.
These are representative records from the downloadable dataset (the formula ranges reference all eight records):
| Row | A: Order ID | B: Region | C: Status | D: Amount | E: Agent | F: Units |
|---|---|---|---|---|---|---|
| 2 | O-101 | East | Paid | 120 | Ana | 12 |
| 3 | O-102 | West | Pending | 75 | Bo | 5 |
| 4 | O-103 | East | Paid | 210 | Ana | 7 |
| 6 | O-105 | West | Paid | 150 | Bo | 3 |
| 8 | O-107 | West | Paid | 125 | Ana | 12 |
| 9 | O-108 | North | Pending | 80 | Cy | 4 |
Enter the formula in a vacant cell, for example H2:
=SORT(A2:F9;4;-1;FALSE)
Expected result: First order O-103 (210); next O-105 (150); last O-106 (60).
Walkthrough: Column 4 of A:F is Amount. -1 puts larger numeric values ahead of smaller ones, with every ID, region and agent moving together with its amount.
A second example
=SORT(A2:F9;4;1;FALSE)
Expected result: First order O-106 (60); last O-103 (210). Changing only order to 1 reverses the numeric ranking while preserving each row as a complete record.
More advanced use
=SORT(FILTER(A2:F9;C2:C9="Paid");4;-1;FALSE)
Expected result: Paid-order amounts in order: 210, 150, 125, 120, 90. FILTER selects paid rows and SORT ranks just those records. This nested dynamic-array expression is an intended combination of two documented functions, not a native Zoho execution result.
If the result must be sent to someone who cannot use Zoho Sheet, consider exporting the values of the sorted result (not only the underlying SORT expression) after checking its current order. That avoids a dependency on dynamic-array support in the recipient’s application.
Common errors and troubleshooting
- If you sort only the Amount column, the numbers lose their association with Order IDs. Include the full row range.
- Within A:F, sort_by=4 means Amount; it does not mean sheet column 4 when your range begins in another column.
- TRUE in the fourth argument changes sorting direction to columns, not descending order. Use -1 in the third argument for descending order.
- Zoho’s export guidance lists SORT among functions that may not remain available after exporting a workbook. Retest the destination format or paste values for a static report.
Compatibility and version notes
Most dynamic-array spreadsheet software provides a SORT-like function, but differences in optional arguments and formula export behavior matter. Keep Zoho’s documented direction argument distinct from the order argument.
The examples deliberately follow Zoho’s semicolon-separated syntax. Spreadsheet software may use different argument separators based on product and locale. This guide covers the current documented Zoho function, not an unverified assertion about support in older releases.
Zoho also publishes an export limitations guide explicitly naming this function among features that may be unavailable in the exported file. Reopen and check exported results.
