Reproduce the example with real data
Download the eight-row CSV dataset and import it into a blank Zoho Sheet starting at cell A1; this creates a header on row 1 and data in rows 2–9. Leave the output area outside A1:F9. If IDs or numbers were changed during import, correct their data types before continuing.

Enter the formula in a vacant cell, for example H2:

Expected result: 5 rows: O-101, O-103, O-104, O-105, O-107.
Walkthrough: Only five Status cells are Paid. The full corresponding A:F records are returned, not just the status labels.
A second example
=FILTER(A2:F9;D2:D9>=150)
Expected result: 2 rows: O-103 (210) and O-105 (150). The comparison acts on the Amount values, returning the complete rows whose amounts meet the threshold.
More advanced use
=FILTER(A2:F9;C2:C9="Paid";B2:B9="East")
For a shared operating report, dedicate a separate tab or empty area to FILTER results, and put summary totals beside rather than inside the spill region. Keep the raw source untouched as the audit trail.
Common errors and troubleshooting
- The FILTER result spills into neighboring cells. Leave the destination area free rather than typing over part of an array result.
- Criteria arrays must align with the source records.
C2:C8does not cover all the records inA2:F9. - The formula is not the same as applying a user-level menu filter. FILTER returns a new dynamic result, while Zoho’s interface filters can be personal views.
- When no records match, inspect the actual status spelling, whitespace and data types. Do not assume a fixed blank/error response without testing the current Zoho version.
Compatibility and version notes
FILTER exists in several newer spreadsheet applications, but spill mechanics, empty-result handling and function availability can differ. Zoho’s current help documents an array that expands into adjacent cells. Validate results again after importing or exporting another file format.
