Aggregate Zoho Sheet Chart Categories and Check Top/Bottom Results

Reconcile repeated-category chart sums and averages, then test Top/Bottom N with an explicit summary so filtering is not confused with deleting source records.

Documentation-qualified; independent grouped arithmetic and ranking checks; no live chart execution · Editorial standards

Quick answer and scope

Use Data → Aggregation to summarize repeated chart categories, and Top/Bottom N to limit a chart by a selected series. Both controls appear in Zoho’s web chart guide.

The exercise deliberately separates aggregation from ranking. The checked help does not establish the order in which aggregation and Top/Bottom N are applied together, nor its treatment of ties. Do not infer those rules from another spreadsheet program.

Use a private synthetic workbook in an existing authorized free account. If the controls are unavailable, stop rather than starting a trial or assuming your account includes them. This is the rolling web editor, not the Windows, Mac or mobile app. No native interaction, account entitlement, screenshot, saving or reopening was tested. All results below are independently calculated acceptance targets.

Prepare six records and independent controls

Name a blank practice worksheet RegionalSales. Enter A1:B7:

Row A: Region B: Amount
1 Region Amount
2 East 60
3 West 40
4 North 70
5 East 30
6 West 110
7 North 50

Keep the six input records intact throughout the exercise. In D1 enter Source total and D2 enter =SUM(B2:B7), which should return 360. D3 can contain =COUNT(B2:B7), which should return 6. See the SUM and COUNT guides if a control fails. Totals and control cells must stay outside the chart source.

The independent grouping table is:

Region Sum Record count Average
East 90 2 45
West 150 2 75
North 120 2 60

These are six transactions but only three unique regions. A category label repeated in the input is intentional, not a duplicate-record error.

Summarize the repeated labels in a chart

Select A1:B7 and use Insert → Chart. Choose a simple two-dimensional column chart. Right-click it to open the side pane, then use Data → Aggregation. Set Operation to Sum, Values to Amount and Axis to Region. Do not add a second grouping for this one-series exercise. The same official chart reference defines these fields.

Check for exactly three categories with values East 90, West 150 and North 120, regardless of their displayed order. If there are six separate bars, the intended grouping has not been established. Do not relabel a bar to conceal that discrepancy. Keep the worksheet count at 6 and total at 360.

As a separate check, change the operation to Average. Expected values become East 45, West 75 and North 60. The averages sum to 180, not 360; adding category averages is not the transaction total. Return the operation to Sum and verify 90, 150 and 120 again. If your deployed pane cannot produce this single-category grouping, record the actual controls and stop this acceptance check.

For basic titles, readable labels and source-range checks, use create and check a chart. This lesson does not repeat that full formatting workflow. Keep the report private; publishing is not part of the test.

Test ranking against an explicit summary

Enter this separate three-row control in F1:G4 as ordinary values, not formulas linked to the first chart:

F: Region G: Amount
East 90
West 150
North 120

Create a second, plain column chart from F1:G4, without aggregation. This intentionally removes uncertainty about whether ranking happens before or after grouping. Label it clearly as the three-region summary rather than the original transactions.

In this second chart’s Data → Top/Bottom N, select Top, set N to 2, and select the Amount series. The documented series selector matters when a chart contains more than one numeric series. Expected retained categories are West 150 and North 120. Their combined amount is 270, not the source total of 360. Category order is not part of this check.

Change the direction to Bottom, keeping N at 2. Expect East 90 and North 120, totaling 210. The values were chosen without ties, so this experiment does not establish a tie-breaking policy. F1:G4 should still contain all three regions. A chart restriction is not permission to delete unshown rows.

Change one transaction, then update the control deliberately

Change B5 from 30 to 130. The six-record total becomes 460. In the first chart with Sum restored, East should become 190, while West stays 150 and North stays 120. If it still shows 90, investigate the chart’s source, operation and saved input before trusting the report.

The second chart is deliberately based on a manual summary. It should not be treated as automatically linked to B5. Update G2 from 90 to 190 yourself, then set its ranking to Top 2 again. Expect East 190 and West 150, totaling 340. This distinction tests whether you understand which cells each chart actually reads.

Restore B5 to 30 and G2 to 90 explicitly. Recheck the first chart’s three sums, the source total 360, the record count 6, and the second chart’s Top 2 result of West/North. Do not rely on an untested Undo sequence or replace a source number with a plotted total.

Save and troubleshoot without guessing

Zoho documents automatic saving and a last-modified indicator. Wait for the practice edits to save, record the workbook’s private location locally, then reopen that same file. Reinspect both source ranges and settings as well as the numbers. This is a reader acceptance step, not a completed native test.

  • A sum is 2: The chart may be counting records. Check the operation and whether Amount cells are numeric.
  • A category average is compared with a regional total: These answer different questions. Use the grouping table and the operation label.
  • Ranking looks correct but totals differ: A Top/Bottom view intentionally omits categories. Retain the complete worksheet total beside the filtered view.
  • The second chart stays unchanged after B5 changes: Its source is F1:G4. Update that independent summary deliberately; it is not a dynamic aggregation formula.
  • Two categories tie in real data: This fixture does not establish whether all ties appear or how one is selected. Test and document the deployed behavior before making a ranking claim.
  • A control is missing or a source cannot be edited: Confirm that you are using the web editor and the intended chart, then consult current help. Do not substitute desktop instructions or broaden account access.
