Validate Numeric and Date Inputs in Zoho Sheet
Check numeric and date validation boundaries, paste behavior and a separate capacity formula audit.
Quick answer
Use Data → Data Validation to set a Whole number condition and a Date & Time condition on separate ranges. Test the boundaries and keep a separate formula audit for capacity: the documented web criteria do not establish formula-based input blocking.
Restrict units and due dates, then audit a relationship that the documented web validation controls do not establish. A warning is not proof that every paste or blank was blocked.
Build the input sheet
Rename the active sheet Inputs. Enter A1 Task, B1 Units, C1 Due, D1 Capacity and E1 Within capacity, then enter:

Enter formulas as formulas. DATE avoids ambiguous day/month entry; your account’s displayed date format may differ. E2:E4 should be TRUE. Use File → Save As to preserve Validation Baseline, record the cloud URL, then create Validation Working.
Set two documented criteria
- With Inputs active, select B2:B4 and open Data → Data Validation. Confirm the dialog’s range is B2:B4 and choose Whole number.
- Set the condition to accept values from 1 through 10, inclusive. Verify the displayed comparison and boundary values before committing; this guide does not invent a current label for the interval operator or confirmation button.
- Add the available legend/error guidance:
Units must be a whole number from 1 to 10.Complete the dialog using its displayed confirmation control. - Select C2:C4, open Data Validation, choose Date & Time, and set an inclusive date window from 1 November 2026 through 30 November 2026. Use the dialog’s date input/picker to avoid locale ambiguity. If it includes time, use the displayed date-only criterion where available; otherwise establish the upper endpoint explicitly and do not claim all times on 30 November are accepted.

Zoho’s web help names Whole number and Date & Time but does not specify every operator/button caption. If the dialog cannot express these intervals, stop this part and retain the baseline rather than substitute an undocumented formula criterion.
Exercise the boundaries one at a time
In B2 try 1 and 10 (valid), then 0, 11 and 1.5 (invalid). For each attempt, record whether the interface rejects the entry, warns but permits it, or gives no message. Cancel any invalid entry or restore B2=1 before the next trial. Test C2 with the two November endpoints, then 31 October and 1 December, restoring the original 1 November afterward.
On a separate Validation Experiments copy, clear B2 to test blank handling; paste 11 from an unvalidated cell into B2 to test paste behavior. Record the actual result and inspect the rule afterward. Neither blank rejection nor paste enforcement is guaranteed by the cited page. Do not keep this experimental copy as the completed result.
Back in Validation Working, change B4 to 7. It remains within the numeric range, but E4 becomes FALSE because capacity is 6. Restore B4=4 so E4 returns TRUE. This is a formula audit, not an input-blocking formula validation rule. The web help does not list Formula among its criteria; desktop/offline documentation cannot establish web support.
Manage rules and extend deliberately
Open Data validation → Manage Validation and use a condition’s settings icon to edit, copy or clear it. Change the units upper bound to 12, then explicitly enter 12 in B3; B3 should then satisfy that numeric condition and E3 remains TRUE. Append row 5: A5 Return, B5 2, C5 =DATE(2026;11;20), D5 3, E5 =B5<=D5. Extend or copy both validation rules to row 5 and inspect their ranges. Do not assume appending data extends rules.
Save as Validation Complete, record its URL and reopen Inputs. Keep B2:B5 as 1,12,4,2; all four audits should be TRUE. Check rule ranges include rows 2:5. Optional reset belongs in Validation Reset: select B2:C5 and choose toolbar Clear → Clear Data Validation, then verify values remain. Recover a missing rule from the preserved completed file, not a post-reopen Undo assumption.

Zoho Sheet web editor, English interface, rolling service; cached official documentation retrieved 2026-10-19 and reviewed 2026-10-20. Requires edit access to a private practice spreadsheet. Native browser execution and screenshots are not verified; desktop/offline and mobile parity are outside scope.
