Use Picklists and Checkboxes in Zoho Sheet

Create single and multi-select Picklists, inspect checkbox states and maintain controlled task inputs.

Create the task fixture

On the active sheet named Tasks, enter A1 Task, B1 Status, C1 Labels, D1 Done. A2:A4 are Pack, Review, Dispatch. Leave B2:D4 empty. Name the cloud file Controlled Input Baseline with File → Save As, record its URL, then create Controlled Input Working.

Add the two kinds of Picklist

  1. Select B2:B4. Choose Insert → Picklist → Create Picklist.
  2. In the side pane choose Single-Select, then List. Add the items Open, Review, Done. Enable Display as chip if useful; labels must remain readable without color. Click Create.
  3. Pick Open in B2, Review in B3 and Done in B4. Try choosing Done for B2 and then Open again. Each selection should replace the previous single choice, not add a second status.
  4. Select C2:C4 and create another Picklist with Multi-Select, List items Urgent and Internal. Choose both for C2, Internal alone for C3, and leave C4 unselected. Expect two selected labels, one, then none; do not assume a particular comma-separated stored representation.
  5. Try typing Waiting into B2. Zoho documents that manual values cannot be entered into a Picklist; use the list editor to add choices instead of attempting to bypass it.

A genuinely unselected Picklist cell and a populated one are different states. Do not confuse an empty label field with a new allowed choice called Blank.

Check boxes and inspect their underlying condition

Select D2:D4 and choose Insert → Checkbox. Explicitly check D2 and D4 and leave D3 unchecked. The visible result is two checked boxes out of three. Keep status and Done independent: this example does not synchronize them automatically.

To inspect rather than assume representation, first use File → Save As to create Checkbox Inspection. On Tasks select D2:D4 and choose Edit → Clear → Checkbox. Zoho documents this as removing the checkbox while exposing its condition. Record what checked and unchecked cells display; test =D2=TRUE in F2 and =D3=FALSE in F3. TRUE/TRUE is the expected logical-state check, but this native result has not been observed for this guide. A blank cell is not an unchecked checkbox. If the conditions are unexpected, stop before building formula counts on them. Return to the separately named Controlled Input Working file, which must still contain the checkboxes.

Maintain choices and grow the range

In Working, choose Insert → Picklist → Manage Picklist and edit the status list. Rename Review to In review and click Save. Existing B3 should change to In review: Zoho explicitly documents that renaming an item changes its existing occurrences. Add Waiting as a new choice rather than renaming Open if Open must remain distinct.

Add A5 Archive. In Manage Picklist use the status list’s copy action to apply it to B5 and the label list’s copy action for C5; select the destination shown in the pane. Insert a checkbox in D5. Choose Waiting in B5, leave C5 unselected and D5 unchecked. The expected visible count is still two checked out of four; B3 is In review and B5 is Waiting. This explicitly covers growth without assuming auto-extension.

Retain and reset safely

Save as Controlled Input Complete, record the cloud URL, reopen Tasks and check all four rows. Keep this cloud file: Zoho lists both Picklist and Checkbox among features unavailable in downloaded files.

Optional reset belongs in Controlled Input Reset. In Manage Picklist delete only the intended rule, inspecting which range it applies to first; do not assume this clears cell contents. For boxes, Edit → Clear → Checkbox preserves the condition; deleting the resulting cell contents is a separate action. If a renamed list changed more records than intended, recover from the baseline/completed cloud copy and add a new choice instead. No export parity or mobile behavior is established here.
