Quick answer

Publish only an intentionally public sheet or range, inspect download and interaction options, and test the published view separately from the private editor.

Before you start

Zoho Sheet web editor in an English desktop browser; rolling service, official documentation reviewed 20 October 2026. Not desktop-app or mobile instructions. Use an editable practice file containing only synthetic data. Keep the original unchanged and record the file name and storage location so that you reopen the same copy. These are documentation-based instructions and independently checked examples, not a claim of native application testing.

Prepare a public-only example

Create a new workbook containing no private sheets, hidden notes, personal data or live source connections. Enter A1:B4 with headers Workshop and Seats, followed by Morning / 12, Afternoon / 8 and Evening / 10. Put =SUM(B2:B4) in B6 and Total seats in A6; expect 30.

The intended publication is A1:B4 only, not the calculation in row 6 or any other workbook content. Using a clean public-only workbook reduces the consequences of choosing the wrong scope, but it does not replace inspecting the actual published view.

Configure publication deliberately

  1. Select A1:B4. Open Share → Publish, or the documented Publish option for a selected range.
  2. Choose the range rather than the complete spreadsheet. Verify all four rows and both columns are included, and that row 6 is excluded.
  3. Choose the intended audience. Zoho distinguishes publication within the organization from publication to the external world; select external publication only for data you genuinely intend to make public.
  4. Review Allow interactions and Allow download. For this read-only public example, disable interaction if you do not want viewers exploring changes. Disable download if you do not want the built-in download option, while recognizing this cannot stop copying or screenshots.
  5. Review display options such as formulas, headers, gridlines and formula bar. Hiding a formula in a viewer is a presentation choice, not a substitute for removing confidential information from the published source.
  6. Complete publication only after the audience and scope are correct. Copy the published URL, not the editor URL.

Check the public URL in a separate browser context where you are not relying on owner privileges. It should show three workshop entries and the intended controls, without the private editing interface. If it exposes the wrong scope, unpublish immediately before correcting the source selection.

Open Share → Published Details, then the Embed Code tab. Copy the supplied code into a webpage you control and are authorized to edit. Keep this step separate from publishing the workbook: creating an embed code does not insert it into a website automatically.

Inspect the resulting page at a narrow screen width. Make sure the seat counts remain readable and that the embedded view does not offer controls you meant to disable. Provide a visible text explanation or link alongside the embed so readers are not dependent on the frame alone.

Check updates and revoke access

Change Afternoon seats to 9 in the source. The source total becomes 31, although row 6 remains outside the publication. Reload the public view and check the displayed Afternoon value. Record any observed delay rather than assuming a refresh guarantee.

Zoho notes that a viewer’s changes in an interactable publication do not write back to the original workbook. Do not confuse a public interactive model with a shared editable source.

To stop publication, use Share → Published Details → Unpublish, then retest the previously copied URL and embedded page. Unpublishing cannot recall copies already downloaded or captured. Keep the source workbook private, and review its separate sharing settings if the audience changes.

Continue with sheet cell protection.
