Review Spelling Without Changing Valid Identifiers in Zoho Sheet

Proofread a selected text range, approve one verified correction, and preserve identifiers, quantities and valid words that need a separate meaning check.

Documentation checked 2026-10-21; example independently checked; not executed in Zoho Sheet · Editorial standards

Quick answer: Select the text to proofread, open Tools → Spelling → Spell Check, and approve only corrections whose intended meaning you know. A dictionary is not a product catalog: a correctly spelled word can still describe the wrong item.

Scope and evidence

This guide follows Zoho’s English-language web Spell Check documentation, checked October 21, 2026. Zoho Sheet is a rolling web application; no numbered release or mobile/desktop equivalence is asserted. The exercise requires an existing account with permission to edit a disposable spreadsheet. It does not require an AI integration, paid add-on, or external data connection; if your current free account does not expose the documented command, stop rather than upgrade for this exercise.

The expected text and totals below were checked independently, not by running Zoho Sheet. Dictionary flags, suggestions, current account availability, cloud saving and screenshots have not been verified in the application.

1. Prepare a small proofreading task

Enter this synthetic table in A1:C5 of a disposable sheet:

Row A: Item ID B: Label C: Quantity
2 NB-01 Notebook 2
3 NB-01 Notebok 3
4 FP-20 Fablepin 4
5 ST-10 Stable 5

For this exercise, the approved catalog is NB-01 = Notebook, FP-20 = Fablepin, and ST-10 = Stapler. Fablepin is an invented but deliberately valid product name. Stable is an ordinary English word but the wrong label for ST-10.

Put Notebok in E2 as an out-of-range sentinel. Leave E2 unchanged: it represents text that has not been approved for correction. Retain a copy of the starting table so you can compare exact text, IDs and quantities afterward. The four quantities total 14.

2. Make one verified spelling correction

  1. Select B2:B5, not the entire sheet.
  2. Open Tools → Spelling → Spell Check. In the side pane, use the dictionary icon to select the appropriate language from those offered.
  3. Inspect any flagged entry and its cell before choosing a suggestion. For B3 only, the catalog establishes Notebook as the intended text. If that suggestion is offered for B3, select it and choose Change.
  4. If B3 is not flagged or the correct suggestion is absent, do not choose an incorrect alternative. Edit B3 directly to Notebook using the supplied catalog, then verify the cell. Record that as a manual correction, not a successful dictionary detection.

Do not use Change All here. Zoho describes it for repeated misspellings across the spreadsheet; the checked documentation does not establish a narrower selected-range boundary for that action. The sentinel must remain unchanged.

Do not “correct” Fablepin merely because a dictionary flags it. Leave Stable for the separate catalog review below; absence of a spelling warning would not validate its meaning.

3. Verify the proofreading result, then review meaning

After the spelling stage, the exact labels must be:

  • B2: Notebook
  • B3: Notebook
  • B4: Fablepin
  • B5: Stable
  • E2: Notebok, unchanged

Only B3 should have changed. All four IDs and quantities must remain paired with their original rows, and the quantity total must remain 14. A matching total alone would not detect a swapped ID, so compare those fields individually too.

Now perform a separate catalog check. ST-10 requires Stapler, so deliberately edit B5 to Stapler. Identify this as a meaning correction based on the catalog, not a spelling correction. The final changed cells relative to the original are B3 and B5; the quantity total is still 14, and E2 still reads Notebok.

This separation makes the review auditable: “no spelling errors found” is never the acceptance criterion for product identity.

4. Test an additional record

In a fresh copy of the starting example, append NB-01, Notebok, 1 in A6:C6. Explicitly extend the intended proofreading selection to B2:B6. Review the two matching typos individually against the catalog; do not assume the selection expanded automatically.

After spelling corrections, B3 and B6 should read Notebook, while B5 still reads Stable until its separate catalog correction. There are now five records, the quantity total is 15, and the Notebook records carry quantities 2, 3 and 1, totaling 6. E2 remains unchanged. If either the new record or sentinel differs from these checks, inspect the affected cells before continuing.

Troubleshooting and dictionary choices

  • Too many legitimate words are flagged: Check the chosen dictionary language and the authoritative spelling of names. Do not replace identifiers or brands to make warnings disappear.
  • A valid custom name is repeatedly flagged: Zoho documents a Personal Dictionary under Tools’ spelling options. Adding a word suppresses its spelling warning; the documented plus/minus controls add or remove entries. This exercise does not change your personal dictionary. The help does not establish sharing, persistence or export behavior, so do not treat it as a team-wide approved terminology list.
  • No warning appears for an incorrect label: Compare the ID to the catalog. Dictionary recognition cannot prove the intended product, and an earlier personal-dictionary addition may also suppress a warning.
  • The sentinel or another unapproved cell changes: Stop, compare with the starting copy and restore the affected text before proceeding. Do not run another bulk correction to repair an unexplained bulk change.
  • You need consistent labels across many records: Use a catalog-led data-inconsistency review rather than treating spelling suggestions as proof that labels describe the same product. Zoho’s inconsistency documentation describes a separate column-clustering tool.
  • You need an exact known replacement instead of proofreading: Follow the scoped find-and-replace workflow, retaining unapproved-text sentinels.

Before using the result beyond this disposable exercise, confirm the application’s save status and reopen it to recheck the approved labels. That is a learner verification step, not evidence that this tutorial was executed in the application.
