Insert, Wrap and Hide Rows in Zoho Sheet
Insert whole records and columns, check totals, wrap long text and hide and unhide rows safely.
Source-reviewed proposal; native UI, save/reopen and publication verification pending · Editorial standards
Quick answer
Insert complete rows or columns through the Insert menu, then verify each record and update summary ranges explicitly. Use Format > Wrap Text for long labels and View > Hide & Unhide for temporary visibility, not security.
Scope and evidence
Zoho Sheet web editor in a desktop browser with an English interface and edit access to a private synthetic workbook. Cached first-party documentation retrieved on 19 October 2026 and reviewed on 20 October 2026; the continuously updated service has no fixed version asserted here. Record your browser, account role and visible interface before testing. Windows/macOS desktop applications and mobile apps are outside scope.
No authenticated native editor was available for this review. Expected values below are independently calculated synthetic checks, not observed application results. No native screenshot or successful save/reopen is claimed. Use only a private practice file in an existing authorized account; stop on unavailable or policy-blocked controls.
Insert a missing record, preserve its row relationships, hide it temporarily and reveal it again. Hiding controls visibility, not who can access data.
Make a traceable baseline
Create Zoho Layout Final, rename the first sheet Layout, and enter A1:C4 as follows (row 1 contains the field names):
| A | B | C |
|---|---|---|
ID |
Description |
Units |
R01 |
Small parcel |
2 |
R03 |
Long description for a fragile parcel |
5 |
R04 |
Envelope |
3 |
In E1 enter Total, E2 =SUM(C2:C4), E3 Records, E4 =COUNTA(A2:A4). Require total 10 and count 3. Check that all three IDs have their intended descriptions and quantities before altering the layout.
Insert a whole row, not one isolated cell
Select row 3 by its row header. Choose Insert > Row, then the option to insert above the selected row. The original R03 and R04 records should move to rows 4 and 5 with their descriptions and units intact. Enter A3 R02, B3 Medium parcel, C3 4.
Inspect the summary cells after inserting an entire row: E2 stays in row 2, but the old E3/E4 labels/formula have moved to E4/E5. Replace E2 explicitly with =SUM(C2:C5) and E5 with =COUNTA(A2:A5). Require 14 and 4. Do not rely solely on automatic formula-range expansion. A3:C3 must hold the complete R02 record.
Add a column without losing the summary
Select column C and choose Insert > Column, inserting before C. Enter C1 Zone; enter C2:C5 as North, South, North, South. Units are now in D2:D5; the summary has shifted from E to F. Inspect and explicitly set F2 to =SUM(D2:D5) and F5 to =COUNTA(A2:A5). Require 14 and 4 again.
Read each full record across A:D. Expected units by ID are R01 = 2, R02 = 4, R03 = 5, R04 = 3. Inserting an isolated cell would misalign those relationships, so do not substitute Insert > Cell.
Make long text readable
Select B2:B5 and use Format > Wrap Text, which is documented for the web editor. Check the full fragile-parcel description in B4 without editing its value. Wrap affects presentation; verify that the formula bar still contains the original text and that the units and totals remain unchanged. If the full label is still clipped, record that layout limitation rather than treating missing visible words as deleted data. Exact resizing controls and moving existing rows or columns are outside this tutorial’s scope.
Hide and unhide with data checks
Select row 4, then use View > Hide & Unhide to hide the selected row. R03 disappears from view, but F2 must remain 14 and F5 must remain 4: ordinary SUM/COUNTA calculations still include the hidden data. Zoho documents a green marker at a hidden row/column boundary. Hover over the marker and use its arrows to unhide the row; alternatively choose the corresponding unhide option in View > Hide & Unhide.
Check R03, its long description, North zone and 5 units are all restored in row 4. Next select column C, hide it with the same menu, then unhide it and inspect every zone. Do not use hiding to conceal confidential data from collaborators; someone with access may unhide it.
Grow and save the final layout
Add row 6 directly into the blank cells: A6 R05, B6 Tube, C6 North, D6 6. Change F2 to =SUM(D2:D6) and F5 to =COUNTA(A2:A6). Expect 20 and 5. Check all five IDs remain unique and ordered R01 through R05, with all rows/columns visible.
Wait for saving, record the URL and listing location of Zoho Layout Final, close and reopen it. Require total 20, count 5, the five ID/unit pairs, visible Zone column and readable descriptions. Keep this final file before any reset.
For optional recovery practice, create a separate copy and hide row 4 again, then unhide it using the documented marker. If insertion happened on the wrong side, rebuild that practice copy from the baseline table rather than deleting an uncertain row from the saved final. Undo is only an immediate same-session recovery option; do not assume history survives reopening.
