Annotate a Calligra Workbook with Comments and Links

Add, revise and remove comments and create checked cell and web links in a local Calligra workbook.

Documentation and versioned source reviewed; native verification pending ยท Editorial standards

Annotate a quantity discrepancy, update the explanation when resolved, and build a local navigation link to the reviewed cell. The result is a self-contained review workbook; no sending or shared editing is required.

Scope and preparation

This is a documentation-and-source-reviewed exercise for Calligra Sheets on Linux/KDE, using English labels from the 26.08.2 source. The KDE handbook still carries a 2013-03-11 revision; its KF6 URL does not prove that every screenshot or instruction describes a current build. No native application run or screenshot is claimed here. Check your version in Help โ†’ About Calligra Sheets. If a specified control is absent, stop that branch and retain the checkpoint; do not substitute another spreadsheet’s controls.

Use a new disposable workbook and save in OpenDocument Spreadsheet (.ods) format. Enter each table cell individually to avoid clipboard import ambiguities. The expected numbers below are independently calculated targets, not observed application results.

Create a review fixture

Cell Enter
A1 Item
B1 Counted
C1 Expected
D1 Difference
A2 Blue crate
B2 18
C2 20
D2 =B2-C2
A3 Green crate
B3 12
C3 12
D3 =B3-C3
A5 Review status
B5 Open

D2 should be -2 and D3 0. Save crate-review-base.ods.

Add and expose the review comment

  1. Select B2 and choose Insert โ†’ Comment…. Enter Count is two below the list. Recount the blue crates before closing this check.
  2. Click Apply, then Close if the dialog stays open. Move away and hover over B2. Check that the full comment appears and the value remains 18.
  3. If no marker is shown, right-click the sheet tab, open Sheet Properties, enable Show comment indicator, and confirm. The historical handbook describes a corner marker; its exact color/theme appearance is not a correctness test.
  4. Reopen B2’s Comment… dialog to inspect the stored text, then close it. The presence of a tooltip is not a substitute for confirming that the note is attached to the intended cell.

Comments explain values. They do not change the arithmetic, restrict edits, or provide a complete revision history.

  1. Select the empty F1. Choose Insert โ†’ Link…, then the Cell page.
  2. Set Text to display to Inspect blue count and Cell or Named Area to B2. Click Insert Link, then close the dialog if needed.
  3. Click F1 to follow the link. Check that the active destination is B2, with value 18 and its comment. Use the address box or arrow-key navigation to select F1 later if clicking activates it.
  4. Select F2 and reopen Insert โ†’ Link…. Choose Internet, set display text to Calligra handbook, and address to https://docs.kde.org/stable_kf6/en/calligra/sheets/. Insert and close. For inspection, reopen the dialog and compare the host/path to docs.kde.org/stable_kf6/en/calligra/sheets/, then click Close without pressing Insert Link. The reviewed source strips the HTTPS scheme from the reopened address field, so this checks only the host/path, not the complete stored URL.

In the inspected 26.08.2 source, applying that unchanged scheme-less field can write an HTTP link. If you deliberately reapply the link, first restore the complete address https://docs.kde.org/stable_kf6/en/calligra/sheets/, then click Insert Link and close. This is a source-derived warning, not a native observation. Full stored-scheme verification remains unverified in this exercise; do not treat the reopened field as proof of HTTPS preservation.

Keep web links in separate cells from numeric inputs. Link insertion can replace the cell’s displayed text. A familiar-looking label does not verify its destination. This exercise uses neither email links nor external file paths, which could reveal addresses or fail on another computer.

Resolve the discrepancy and update the note

  1. Select B2 directly and change it to 20. D2 should become 0; D3 remains 0.
  2. Select B2, reopen Insert โ†’ Comment…, replace the note with Recount complete: 20 blue crates. Difference is zero. Apply and close.
  3. Change B5 to Resolved. Follow F1 again and hover over B2: value 20, updated comment and difference 0 should agree.
  4. Add A4 Red crate, B4 7, C4 8, and D4 =B4-C4. Its independent difference is -1. Select B4 and add the comment One red crate is still missing. Apply and close.
  5. Select F3 and create another Cell link with text Inspect red count and target B4. Follow it to confirm that adding a new issue did not redirect F1.
  6. Change B5 to One open issue. The final workbook now deliberately contains one resolved issue and one open issue; do not leave the overall status as resolved.

Save as crate-review-final.ods, close and reopen. Verify B2 20, D2 0, B4 7, D4 -1, both comments and both local link destinations. Reopen the Internet link dialog only to compare its host/path to docs.kde.org/stable_kf6/en/calligra/sheets/, then click Close without pressing Insert Link. The stripped scheme means this is not full stored-URL verification. If a deliberate reapplication is needed, restore the complete https://docs.kde.org/stable_kf6/en/calligra/sheets/ address first. Full stored-scheme persistence remains unverified.

Optional removal and recovery

Only after saving the final, make crate-review-reset.ods with Save As. Select B4 and choose Edit โ†’ Clear โ†’ Clear Comment (the action may appear as Comment in an older menu). Confirm the note disappears while B4 7 and D4 -1 remain. Select F3 using the address box and choose Edit โ†’ Clear โ†’ Link. In this reviewed implementation, clearing the link also clears its display text; expect F3 to become empty and no longer navigate. Do not use Clear All. Restore the comment and link from the exact text above if continuing this copy, or reopen the final file to recover the reviewed state.

A PDF or format conversion may handle annotations differently; inspect the exported artifact separately. See file-format compatibility and cell protection for those separate tasks. Native cloud coauthoring and tracked changes are outside this workflow and remain unverified.

Download the cell-entry checklist (CSV with cell addresses and entries; a reading/checking aid, not an import-ready worksheet). All starting inputs are also printed above.

Sources and verification boundary

Native Qt6 execution, save/reopen persistence and matching screenshots are still pending. No screenshot of another task is presented as evidence for this exercise.
