Make Long Labels Readable in LibreOffice Calc

Make a readable Calc task table with wrapping, restrained borders and consistent alignment, then test added rows and whole-record sorting.

Documentation-qualified; native workflow and save/reopen checks pending ยท Editorial standards

Format the structure of a table before adding decoration: keep headings clear, long notes readable, and every task on one record row. Avoid merged cells inside a list you will sort.

Create a small task table

On a sheet named Tasks, enter A1:D4:

Item Owner Status Notes
Budget review Alex Open Confirm the final figures before the monthly meeting
Inventory check Sam Done Recount the items with quantity differences
Supplier call Lee Open Ask whether the revised delivery date is confirmed

Save a working ODS file. In F2 enter =COUNTA(A2:A4); expect 3. In F3 enter =COUNTIF(C2:C4;"Open"); expect 2. These checks are outside the sortable table.

This guide uses standard-menu Calc terminology from Calc Guide 26.2 (February 2026) and Help labeled 26.8, consulted 19 October 2026. Content checks were independently calculated; layout and save/reopen checks require your own native Calc verification. No screenshot is presented as a tested result.

Make the header distinct

Select A1:D1 and open Format โ†’ Cells. On Font, use a readable size such as 11 or 12 points and bold. Use Font Effects for dark text and Background for a pale fill. On Borders, choose a thin bottom border rather than a dense grid around every cell. Apply and inspect all four headings.

Select A2:D4 and use normal-weight dark text on a light background. Retain the words Open and Done even if you add color later: color alone is insufficient to convey status. These are direct cell formats, not page backgrounds or print-header settings. Formatting Spreadsheets distinguishes these targets.

Give notes room to wrap

  1. Set practical widths by dragging the dividers next to the column letters: enough for each short Item, Owner and Status, with Notes the widest column. You can also right-click a column header and choose Column Width for a numeric width.
  2. Select D2:D4, open Format โ†’ Cells โ†’ Alignment, and select Wrap text automatically. Leave Shrink to fit cell size off so the text remains readable.
  3. Use left horizontal alignment and top vertical alignment for the body. If the row height clips the wrapped notes, increase it using the divider beneath that row number until the final word is visible.
  4. Narrow Notes temporarily. Each note should occupy more lines, not lose words. Increase row heights as needed, then restore a comfortable width.

Wrapping and alignment are covered in Calc Guide 26.2, Chapter 3; row height and column width help documents width controls. A width that works on one machine can look different with another font, zoom level, or display. Inspect the rendered text rather than treating a fixed measurement as a guarantee.

Test growth instead of assuming inherited formatting

In A5:D5 add:

Item Owner Status Notes
Access check Noor Open Verify the shared folder can be opened before the review

Do not assume row 5 inherited the body formatting. Select A2:D5 and reapply consistent body font and alignment; select D2:D5 and reapply wrapping. Adjust row 5’s height so its final word, review, is visible. Extend F2 to =COUNTA(A2:A5) and F3 to =COUNTIF(C2:C5;"Open"); expect 4 and 3.

This deliberate reapplication works for a small table. For repeated designs, use reusable cell and page styles rather than maintaining many direct-format exceptions.

Check the layout after sorting

Select A1:D5, choose Data โ†’ Sort, enable column labels and top-to-bottom sorting, and sort Item ascending. The expected records begin:

  1. Access check โ€” Noor โ€” Open
  2. Budget review โ€” Alex โ€” Open
  3. Inventory check โ€” Sam โ€” Done
  4. Supplier call โ€” Lee โ€” Open

Check each Notes value against the original fixture as well. Under Sort Options, use Include formats when you want cell formatting retained with the sorted cells; its purpose is documented in Sort Options. Row heights need a fresh visual check after sorting: a height suitable for one note may clip the note now occupying that row. F2 and F3 should still be 4 and 3.

Recovery and final check

If a note is clipped, widen Notes or increase its row height; do not delete words or reduce text to an unreadable size. If fields separate during sorting, undo immediately and repeat with the whole table. If the header loses its distinction, reselect only A1:D1 and restore its header formatting.

Save, close, and reopen the ODS. Read every note to its final word, confirm the four sorted records, and check 4 total tasks and 3 Open tasks. Screen layout does not guarantee printed layout; see printing and PDF output. For automatic rule-based highlighting, use conditional formatting.
