Format a Readable WPS Spreadsheet Report

Format a small worklist so long notes remain readable and new headers can reuse one named style. Keep the records rectangular; merge only a separate title area that contains a single value.

Documentation-qualified; native Windows build and edition checks pending · Editorial standards

Quick answer

Wrap long notes with Format Cells → Alignment, then reuse Home → Cell Style → New Cell Style for headers. Keep the data block unmerged; merge only an otherwise empty title strip.

Format a small worklist so long notes remain readable and new headers can reuse one named style. Keep the records rectangular; merge only a separate title area that contains a single value.

Before you start

Use a disposable XLSX workbook in the English Windows desktop application with the cited controls. The Academy lessons show a desktop-style interface but do not identify an OS build, region or edition. Record those details from your installation. This is a documentation-based exercise, not a native test or entitlement guarantee. If a required command is missing or requests payment, stop that branch. No macOS, mobile, Linux, browser or WPS 365 parity is implied.

Create the worklist

Create WPS-Worklist.xlsx with sheet Worklist. Enter Weekly review in A1, leaving B1:D1 empty. Paste this block at A3:

Item	Owner	Status	Notes
Budget review	Ari	Open	Confirm the final figures before the monthly meeting
Inventory check	Bea	Done	Recount the items with quantity differences
Access review	Chen	Open	Check the request details with the listed owner

The records occupy A3:D6. Leave row 2 blank as a visual separator. Save the unformatted workbook before making presentation changes. Formatting must not remove the words Done and Open; status should remain understandable without color.

Align and wrap without losing text

  1. Select Worklist!A3:D6. Choose a readable body font size such as 11, and use a plain high-contrast text color.
  2. Set columns A, B and C wide enough for their short labels. Make D approximately wide enough for a short sentence fragment, rather than stretching it across the entire screen.
  3. Select D4:D6, right-click and choose Format Cells → Alignment. Enable Wrap text, use left horizontal alignment and top vertical alignment, and leave Shrink to fit disabled.
  4. Confirm, then increase the heights of rows 4:6 until every note is visible. Do not assume wrapping alone resets a previously fixed row height.
  5. Inspect the formula bar for D4 and compare the complete sentence with the cell display. Its final word must still be meeting.

The Academy alignment lesson documents this dialog, including wrapping, shrinking, merging and center-across-selection. This exercise chooses wrapping because reducing the font can conceal how much text exists.

Build and reuse a header style

  1. Select A3:D3 and open Home → Cell Style → New Cell Style, as documented by WPS. Name it ReviewHeader.
  2. In its Format dialog, choose bold text, a pale fill with dark lettering, and a bottom border. Keep number formatting neutral: a header style should not accidentally turn future amounts into dates.
  3. Confirm the new style, then apply ReviewHeader to A3:D3 from the style gallery.
  4. Enter Follow-up, Owner, Status, Notes in A9:D9. Select those four cells and apply the same ReviewHeader style. Both header rows should have matching font, fill and bottom-border treatment.
  5. Apply a restrained outside border around A3:D6 using the border controls in Format Cells. Check the shared edge below row 3 so the header rule is readable without an unnecessarily heavy grid.

This is reuse inside one workbook. The source also discusses Merge Styles between workbooks, but that separate dialog’s direction and entitlement are not required for this task. If New Cell Style is missing or prompts for payment, stop the style branch and retain direct header formatting; do not report custom-style completion.

Merge only the title strip

Select A1:D1 after confirming that B1, C1 and D1 are empty. In Format Cells → Alignment, enable Merge cells and use centered alignment. The single title should remain Weekly review. Never place unrelated values in the other title-strip cells and expect a merge to preserve them all.

Do not merge any cells in A3:D6 or A9:D9. Each field and record must remain separately selectable for future sorting or filtering. If you want the visual effect of a spanning heading without merging, WPS also documents Center across selection; use that as an alternative, not a second simultaneous setting for the same title.

Preserve the finished layout

Leave the two styled header rows, all three notes fully visible, and the title strip merged. Save WPS-Worklist.xlsx, close and reopen it, and activate Worklist. Inspect the title, all twelve record fields, the last word of each note and the matching header appearance. Select A4, then B4, to check that the records themselves remain separate cells.

Troubleshooting

Clipped notes usually need more row height, not more font shrinking. A style that looks inconsistent can have direct formatting overriding part of its appearance; test on the spare header first. A bottom border disappearing can reflect the neighboring cell’s edge formatting; inspect both sides. If the title loses text, undo immediately and inspect all cells that were selected before merging. When a header label changes unexpectedly, undo and inspect the cell text before reapplying the named style.
