Insert, Resize and Hide Rows in WPS Spreadsheet

Changing layout should not detach a quantity from its record. This exercise inserts space for one new delivery, rearranges whole records through an explicit staging area, and hides and restores a column without losing its data.

Quick answer

Insert an entire row, not just cells within one field; then use Home → Rows and Columns for AutoFit and Hide/Unhide. Track both the moved records and any audit formulas outside the table.

Changing layout should not detach a quantity from its record. This exercise inserts space for one new delivery, rearranges whole records through an explicit staging area, and hides and restores a column without losing its data.

Before you begin

Use a new local .xlsx practice workbook in the English Windows desktop application. Record your installed WPS build, region and free or paid edition before comparing commands. The cited WPS instructions support the workflow, but do not identify a tested build for this example. This guide has not been executed in native WPS; its small fixtures provide expected results to check, not a claim that a desktop test passed. macOS, Linux, mobile, web and WPS 365 interfaces are outside this guide.

Work in an unmerged practice range with only one worksheet selected. If a required command is absent or requests membership, stop that branch; a freely accessible lesson does not prove installed-edition entitlement.

Create the delivery register

Save Delivery Layout.xlsx, rename the active sheet Deliveries, and enter at A1:

ID	Item	Units
D01	Pens	12
D02	Pads	8
D03	Folders	5

Enter Control total in E1 and =SUM(C2:C4) in E2; expect 25. Enter =C3 in E3 as a reference sentinel; expect 8. Keep G1:I6 empty for staging. The original records are three indivisible triples, not independent columns.

Insert an entire row

  1. Select row header 3, the row holding D02. Use Home > Rows and Columns > Insert Cell, then choose Entire rows where the dialog appears. In a context menu that offers whole-row insertion directly, use that equivalent command.
  2. Expect a blank row 3, D02 on row 4 and D03 on row 5. The audit cell itself moves from E3 to E4. Check that E4 now refers to C4 and still displays 8. Inspect formula text rather than relying only on the value.
  3. Enter D04, Clips, and 7 in A3:C3. Inspect E2. Its sum should now include C2:C5 and display 32. If the range has not expanded, explicitly correct it to =SUM(C2:C5) and record why; a guessed automatic adjustment is not a control.

Resize for legibility

Select columns A:C. Open Home > Rows and Columns and apply AutoFit Columns Width; select rows 1:5 and apply AutoFit Row Height. Read the full Folders and Clips labels without changing the underlying values. For a deliberate wider Item column, select column B, choose the column-width command and enter 18; confirm in the dialog and visually check the result. Width units and rendered pixels are not interchangeable across fonts and zoom settings.

Rearrange complete records with a safe staging block

Rather than guessing a build-specific drag-and-drop insertion modifier, use ordinary copy to create an explicitly ordered block. All records here are constants, so this does not promise formula-reference preservation for arbitrary row moves.

  1. Copy A1:C1 to G1.
  2. Copy A2:C2 to G2 (D01), A4:C4 to G3 (D02), A5:C5 to G4 (D03), and A3:C3 to G5 (D04). Copy each full three-cell row together.
  3. Check G1:I5: IDs must read D01,D02,D03,D04 and units 12,8,5,7. Enter =SUM(I2:I5) in G7; expect 32.
  4. Only after that check, copy G1:I5 onto A1. The final record block is now ordered by ID. Keep the staging block as an audit copy.
  5. E2 must still display 32. E4 still references cell C4, so it now displays 5, not 8. This is a deliberate lesson: a coordinate reference follows the cell, not the business identity D02. Verify D02 at row 3 directly. Do not silently claim a positional reference continues to identify the same item after overwriting records.

Hide and unhide without deleting

Select column B, use Rows and Columns > Hide and Unhide and choose the column-hide command. Headers A and C become adjacent while IDs and units remain visible. Select the surrounding column headers A:C, choose Unhide Columns, and verify all four item names return. Similarly, hide row 4, observe its missing row number, then select rows 3:5 and use Unhide Rows. Check the total remains 32 throughout.

Manual hiding changes visibility; filtering hides records based on a condition; deleting removes cells and can shift other data. Neither hiding nor filtering makes information confidential. Do not use Delete as an unhide workaround.

Save and confirm the completed workbook

Leave every row and column visible. Save, close and reopen Delivery Layout.xlsx. Confirm A1:C5, matching staging data at G1:I5, total 32 in both checks, and the documented E4=5 sentinel. Reopen checks matter because an attractive layout alone cannot establish record integrity.

For an optional recovery drill, Save As Delivery Layout - recovery.xlsx after reopening the finished main file. In that copy, delete row 3 by mistake and undo immediately. Verify D02, Pads, 8 return together. If undo is unavailable, close without saving and reopen the saved copy. Never delete the staging block or reset the main file merely to demonstrate cleanup.
