LEN in Zoho Sheet: text-cleaning and order ID examples

Text Beginner Zoho Sheet

Count the actual characters in a text identifier or customer field, including spaces.

Verification status: Official documentation referenced; example outcomes independently reasoned or arithmetically checked where stated. Not executed in Zoho Sheet. How formula examples are checked

Quick answer: LEN counts characters in a text value; Zoho says it includes ordinary spaces and non-printable characters. =LEN(A2) gives 12 for CA-2026-0041. =LEN(B2) gives 14 for the customer value with two leading and two trailing spaces.

Formula syntax and parameter definitions

Zoho’s public reference displays:

=LEN(text)
Parameter Meaning and practical notes
text The text value or cell whose character count you want; required. Literal strings belong in double quotes, or select a cell such as A2.

Use semicolons (;) as shown in these Zoho English help examples. A formula typed for a different spreadsheet application or locale may use a different separator; copy the function structure, not assumptions about separators.

Reproduce the examples: an eight-order practice sheet

Import the batch practice CSV (batches/zoho-sheet/2026-10-11T0546Z-text-batch06/order-ids-practice.csv, to be installed and linked by the owner during publication) into a new blank Zoho Sheet, starting in A1. It has headers in row 1 and records in rows 2–9. Import Order_ID as text so the four-digit ending stays padded with zeros. The other two columns are text; the spaces in customer names are intentional.

Row A: Order_ID B: Customer_Raw (visible quotation marks are not part of cells) C: Status
2 CA-2026-0041 ␠␠East Depot␠␠ Open
3 US-2026-0087 West Market Closed
4 CA-2026-0129 ␠␠North Hub␠ Open
5 GB-2026-1042 South Shop Hold
6 CA-2026-0205 East Depot Closed
7 US-2026-0130 ␠␠West Market␠␠ Open
8 CA-2026-0420 Central Store Hold
9 GB-2026-0011 North Hub Closed

The symbol ␠ in the display table represents one ordinary space. Do not type the symbol; the CSV contains actual spaces. Put formula results in a free column, such as D, rather than replacing source data. Spreadsheet row references shown below assume this import location.

Worked example with exact expected results

  1. Inspect A2: CA-2026-0041, consisting of two letters, two hyphens, a four-digit year-like segment and a four-digit suffix.
  2. Enter =LEN(A2) in D2.
  3. Expected output: 12 (2 + 1 + 4 + 1 + 4).
  4. Enter =LEN(B2) in D3. Expected output: 14: the actual value is two spaces + East Depot (10 characters) + two spaces.
  5. Enter =LEN(TRIM(B2)) in D4. Expected output: 10, after removing the normal leading and trailing spaces.

Direct formulas: =LEN("Zoho Sheet") → 10 (Zoho’s published example), while =LEN("East Depot") → 10. The returned number is a length, not the text itself.

Advanced use in an order-processing workflow

Advanced: screen imported identifiers for obvious shape errors

In D2 enter:

=IF(AND(LEN(A2)=12;MID(A2;3;1)="-");"Shape OK";"Review")

Expected D2 result: Shape OK. A2 contains 12 characters and the third character is a hyphen. If the first hyphen is removed, LEN drops to 11 and the result becomes Review. The rule is a lightweight shape screen, not full validation: it does not ensure the sixth or eighth character, numerical digits, uniqueness or jurisdiction.

You can also flag dirty customer strings: =IF(LEN(B2)=LEN(TRIM(B2));"Clean spacing";"Spacing review") produces Spacing review on row 2. Comparing lengths is easier to audit when the raw and cleaned values appear in adjacent helper columns.

Common errors, limitations, and troubleshooting

  • A space is a character: LEN will not tell you where a leading space is. Use TRIM and compare lengths as demonstrated.
  • Invisible/nonprinting characters: Zoho explicitly says these are counted. A displayed text value may appear shorter than LEN reports if imported content contains invisible characters. Do not assume TRIM handles every such character.
  • #NAME!: Ensure literal strings are in quotes and the function name is spelled correctly.
  • #REF!: A deleted input column invalidates its reference; repair A2/B2 first.
  • Non-text values and Unicode: Do not assume a text conversion format or emoji/surrogate-pair counting convention is identical across web/desktop/Excel. Test representative imported data directly.

A dependable diagnosis is to try the direct quoted-string example first, then the A2/B2 cell reference, and finally the combined formula. This isolates input problems from reference problems and nested-formula problems. Calculated expectations are not native Zoho test reports.

Cross-software compatibility and alternatives

The LEN(text) spelling is also used by Excel and Google Sheets. Zoho explicitly counts non-printable characters, so users should not equate a visual width with a formula length. Microsoft’s LEN reference documents Excel’s own character rules, which may depend on compatibility settings for certain Unicode text; do not infer that those Excel settings exist in Zoho.

Zoho version and platform scope

This is a guide to the currently published online Zoho Sheet function reference, checked October 11, 2026, not a claim that every historical release, account tier, web/mobile/desktop client or offline file uses the same engine. Zoho’s public reference cited here does not state the first-supported product version. Zoho’s release notes describe Windows/macOS desktop apps (April 2026) and iPhone offline availability (August 2026), but do not establish this function’s exact cross-client parity. Confirm calculations in the actual target environment before relying on them for a workflow.
