Quick answer: MAX returns the highest numerical value among the supplied cells. Use it for a quick largest-order KPI before performing more detailed rankings.

Use this if you need to find the largest amount or unit count. This guide is for Zoho Sheet, not a generic spreadsheet formula copied from Excel. Its calculations are original educational examples with expected values checked independently. No formula was run in a signed-in Zoho Sheet account.

Worked example: exact inputs, formula and result

Prepare this eight-order practice data

  1. Open a blank Zoho Sheet and paste the table below into cells A1:F9, using row 1 for its six headers. A CSV with these exact eight records is also included in this batch; import it at A1 if copying the table is inconvenient.
  2. Check that cells in the Amount and Units columns are numeric, not text imported from a CSV. Keep the headers out of formula ranges unless the guide explicitly says otherwise.
  3. Enter the formula in an unused result cell such as H2, away from the original records; do not place it inside its input range.
  4. Check the expected output against the values in the table before substituting your business data. These expected outputs are independently calculated, not verified by running Zoho Sheet.

Main calculation

=MAX(D2:D9)

Expected result: 210. The eight Amount values range from 60 to 210; order O-103 in row 4 has the maximum 210.

Check the cell range character by character. If your result is different, confirm the row numbers, number formatting and that your inputs match the sample before changing the formula. The numbers here are calculated independently from the table, not copied from an application screenshot.

Second practical example

=MAX(F2:F9)

Expected result: 12. Two orders have 12 units (O-101 and O-107); MAX reports 12 without indicating which row to choose.

This is a second, separately reasoned test case using the same named inputs. When working with another workbook, change the column references deliberately and keep comparison criteria or array dimensions aligned.

Advanced application

=COUNTIF(F2:F9;MAX(F2:F9))

Expected result: 2. COUNTIF with MAX as the criterion counts how many unit cells are equal to the maximum. Here two orders each have 12 units. An ordinary lookup of the maximum may return only one order, so ties need deliberate handling.

For formula composition, first confirm the simpler formula works, and only then add nested functions or criteria. The advanced formula must be entered in a different unused cell, e.g. H4, to keep it away from the source ranges.

Errors, edge cases and troubleshooting

A high value is not automatically an outlier or data entry error; use context. The MAX documentation says it ignores text and returns 0 if the inputs contain no numbers, which can hide an all-text imported column. A formatted number stored as text might be skipped instead of being ranked. MAX only returns the largest value; it cannot return the associated order ID without another lookup or filter, and ties need special handling.

Typical formula failures to investigate: #NAME! can indicate a misspelled function or undefined name; #REF! suggests a broken range reference; #VALUE! can indicate a wrong argument type. These are documented as possible errors in Zoho’s function help, but the precise error for a specific imported cell was not native-tested here. Check the formula bar, source cell data types, and range sizes before deciding that the function is broken.

If a formula returns an unexpected blank or zero, compare the relevant input rows with the worked sample. Check mixed numeric/text imports, copy-pasted quotes, leading/trailing spaces, and whether the selected input cells were moved or renamed. Do not infer an application version limitation solely from one failed formula: confirm function availability and syntax in Zoho’s in-app formula assistant.

Compatibility, versions, and limitations

Excel and Google Sheets also have MAX. Avoid assuming that an existing reporting sheet with currency strings and typed numbers will transfer without changing the set of values MAX examines; clean the imported numeric column and confirm ties.

Cross-software transfer: Excel, Google Sheets, and LibreOffice Calc also use the named function for ordinary numerical cases, but do not copy argument separators blindly: Zoho’s English help examples use semicolons (;). Syntax details, empty-cell behavior, handling of text and errors, and compatibility with exports can differ. Test a small verified dataset after migrating rather than assuming a Zoho formula will behave exactly like an Excel or Numbers one.
