MIN in Zoho Sheet: Syntax, Worked Examples, and Troubleshooting
Identify the smallest order amount; learn the verified help syntax, sample formulas, independent expected results and common pitfalls.
Verification status: Official documentation referenced; example outcomes independently reasoned or arithmetically checked where stated. Not executed in Zoho Sheet. How formula examples are checked
Quick answer: MIN finds the least numeric value in a range while ignoring text. It is useful for spotting very small order totals or the smallest inventory quantity.
Use this if you need to identify the smallest order amount. This guide is for Zoho Sheet, not a generic spreadsheet formula copied from Excel. Its calculations are original educational examples with expected values checked independently. No formula was run in a signed-in Zoho Sheet account.
Syntax and argument definitions
=MIN(number; [number1]; ...)
| Argument | What to enter |
|---|---|
number |
Required numeric argument or cell range. |
number1, ... |
Optional additional numbers or ranges to compare. |
Zoho’s official reference uses the expression above. Brackets indicate optional arguments, not text to type. All formula examples use Zoho’s English help syntax with semicolon argument separators. Numeric displays may gain currency symbols or decimal places depending on cell formatting. Read the answer as a number unless the guide expressly says it is text. The formulas below use cell references relative to the stated table.
Worked example: exact inputs, formula and result
Prepare this eight-order practice data
- Open a blank Zoho Sheet and paste the table below into cells A1:F9, using row 1 for its six headers. A CSV with these exact eight records is also included in this batch; import it at A1 if copying the table is inconvenient.
- Check that cells in the Amount and Units columns are numeric, not text imported from a CSV. Keep the headers out of formula ranges unless the guide explicitly says otherwise.
- Enter the formula in an unused result cell such as H2, away from the original records; do not place it inside its input range.
- Check the expected output against the values in the table before substituting your business data. These expected outputs are independently calculated, not verified by running Zoho Sheet.
| Row | A: Order ID | B: Region | C: Status | D: Amount | E: Agent | F: Units |
|---|---|---|---|---|---|---|
| 2 | O-101 | East | Paid | 120 | Ana | 12 |
| 3 | O-102 | West | Pending | 75 | Bo | 5 |
| 4 | O-103 | East | Paid | 210 | Ana | 7 |
| 5 | O-104 | North | Paid | 90 | Cy | 0 |
| 6 | O-105 | West | Paid | 150 | Bo | 3 |
| 7 | O-106 | East | Pending | 60 | Dana | 8 |
| 8 | O-107 | West | Paid | 125 | Ana | 12 |
| 9 | O-108 | North | Pending | 80 | Cy | 4 |
Main calculation
=MIN(D2:D9)
Expected result: 60. The smallest Amount belongs to order O-106 in row 7; its value is 60.
Check the cell range character by character. If your result is different, confirm the row numbers, number formatting and that your inputs match the sample before changing the formula. The numbers here are calculated independently from the table, not copied from an application screenshot.
Second practical example
=MIN(F2:F9)
Expected result: 0. Order O-104 has zero units in F5; MIN includes that genuine numeric zero.
This is a second, separately reasoned test case using the same named inputs. When working with another workbook, change the column references deliberately and keep comparison criteria or array dimensions aligned.
Advanced application
=IF(MIN(F2:F9)=0;"Investigate zero-unit orders";"All unit counts positive")
Expected result: Investigate zero-unit orders. Pair MIN with IF to create a quality flag. Because F5 is zero, the condition evaluates true. This is a convenient prompt to verify whether zero-unit orders are placeholders or data issues.
For formula composition, first confirm the simpler formula works, and only then add nested functions or criteria. The advanced formula must be entered in a different unused cell, e.g. H4, to keep it away from the source ranges.
Errors, edge cases and troubleshooting
MIN ignores text entries but the vendor reference specifies that a range containing no numbers returns 0. Do not assume an all-text column with MIN = 0 means a genuine zero-valued observation. If negative quantities are present, MIN returns the most negative value rather than the smallest absolute magnitude. If all you need is the first low record, MIN returns the number, not the corresponding Order ID; use INDEX/XMATCH with care for ties.
Typical formula failures to investigate: #NAME! can indicate a misspelled function or undefined name; #REF! suggests a broken range reference; #VALUE! can indicate a wrong argument type. These are documented as possible errors in Zoho’s function help, but the precise error for a specific imported cell was not native-tested here. Check the formula bar, source cell data types, and range sizes before deciding that the function is broken.
If a formula returns an unexpected blank or zero, compare the relevant input rows with the worked sample. Check mixed numeric/text imports, copy-pasted quotes, leading/trailing spaces, and whether the selected input cells were moved or renamed. Do not infer an application version limitation solely from one failed formula: confirm function availability and syntax in Zoho’s in-app formula assistant.
Compatibility, versions, and limitations
MIN exists across spreadsheet products. Zoho’s documented no-numbers fallback is 0; for other products, confirm how text values, booleans and empty ranges are treated before migrating data-quality rules.
Cross-software transfer: Excel, Google Sheets, and LibreOffice Calc also use the named function for ordinary numerical cases, but do not copy argument separators blindly: Zoho’s English help examples use semicolons (;). Syntax details, empty-cell behavior, handling of text and errors, and compatibility with exports can differ. Test a small verified dataset after migrating rather than assuming a Zoho formula will behave exactly like an Excel or Numbers one.
