Lay Out a Readable Worksheet in Gnumeric
Format a Gnumeric task report with readable widths, wrapped notes, restrained borders and a repeatable check for newly added rows.
Documentation-backed procedure; independent fixture checks; native verification pending · Editorial standards
Build a readable task report without hiding information in narrow columns. The goal is to keep full notes visible while preserving a simple four-column data rectangle.
Enter the report
Start in A1 on a blank worksheet:
| Item | Owner | Status | Notes |
|---|---|---|---|
| Budget review | Alex | Open | Confirm the final figures before the monthly meeting |
| Inventory check | Sam | Done | Recount the items with quantity differences |
| Delivery booking | Jo | Open | Confirm a morning collection and record the reference |
There are three tasks, two Open, and one Done. Keep the words Open and Done; color alone should not convey status. Leave row 5 for a later task.
In F1 enter Task count; in F2 enter =COUNTA(A2:A4). Expect 3. In F3 enter =COUNTIF(C2:C4,"Open"); expect 2. Adapt the comma to your locale’s formula separator if necessary. These controls make accidental deletion or inclusion of headings easier to detect.
Set the layout in Gnumeric
- Select A1:C4 and use Format → Column → Auto Fit Width. Set the Notes column separately: select D1:D4, choose Format → Column → Width, and use 180 points as a starting width.
- Select A1:D1 and press Ctrl+1. On Font, choose Bold. On Background, choose a pale fill that leaves dark text legible. Apply the settings.
- Select D2:D4, reopen Ctrl+1 and use Alignment: horizontal Justify, vertical Top. The manual documents Justify as wrapping long text. This avoids relying on an undocumented wrap-button location.
- Select A2:C4 and set vertical alignment to Top as well, so each row’s labels align with the start of its note. Select A1:D4 and use Format → Cells → Auto Fit Height.
- For a light header divider, select A1:D1, open Border, choose a thin line and apply it to the bottom edge. For an outside frame, select A1:D4 and use Outline. Keep interior lines optional.
These controls are described in Formatting Cells and the Format menu. Menu nesting can differ; Ctrl+1 is the documented direct route to the dialog.
Inspect the complete words
At normal working zoom, read each note from its first word to its last. Specifically confirm meeting, differences and reference are visible. Select a note and compare the displayed content with its full entry before deciding that it is complete.
Narrow D to 120 points, then run Auto Fit Height again. Expect additional lines, not missing words. Restore D to 180 points and refit the height. The counts in F2:F3 must stay 3 and 2 throughout. Font metrics differ by system, so a fixed number of wrapped lines is not a useful pass criterion.
An outer border applies to the selected rectangle. It is not a promise that each cell receives a box. If you see heavy internal lines, revisit Border and remove the extra interior edges instead of repeatedly adding more borders.
Advanced case: maintain the report after growth
Enter this fourth task in A5:D5:
| Item | Owner | Status | Notes |
|---|---|---|---|
| Access review | Mei | Open | Check the visitor list before sending the revised arrival instructions |
First inspect row 5 before formatting it: do not assume it inherited the body design. Select D2:D5, reapply Justify and Top, then select A2:C5 and apply Top. Select A1:D5 and refit row height. Apply the outside frame to the enlarged rectangle; remove the old row-4 bottom edge if it now looks like an unintended divider.
Update F2 to =COUNTA(A2:A5) and F3 to =COUNTIF(C2:C5,"Open"). Expect 4 and 3. Read the last word instructions in the new note. This is the acceptance test for growth: matching style, complete text and updated controls.
Reversible change and recovery
Change C5 from Open to Done: F3 should fall to 2, while F2 remains 4. Restore Open and expect 3. Formatting must not turn a status label into a picture or replace it with a color.
For layout recovery, narrow D to 60 points, refit height and inspect the result. Restore 180 points and refit again. If row heights remain cramped, select the full affected rows and rerun Auto Fit Height after the alignment setting is applied. Save a native workbook and reopen it to check readability with the same fonts available.
Limits and next steps
Avoid merged cells in this data block: they complicate future row operations. Do not claim that the report has a reusable table style merely because direct formatting looks consistent. This exercise deliberately reapplies a small, explicit set of formats.
For automatic status highlighting, see conditional formatting. For the control formulas, see COUNTA and COUNTIF. Review printing and PDF output separately; a readable viewport alone does not establish a good printed page.
Evidence
First-party Gnumeric manual 1.12 pages Formatting Cells and Menus were reviewed 2026-10-19. Row counts were checked independently. Actual wrapping, font rendering, border placement and reopening have not been natively tested for this article; no screenshot is presented as a result.
