Edit Records Without Misaligning Fields in Gnumeric
Compare Clear Contents, Delete Rows, Insert Rows and shifting cells in Gnumeric, then check that each record keeps the right ID, item, amount and note.
Gnumeric 1.12.62 English desktop documentation/source-qualified; independent cell-map checks; native GUI and persistence verification pending ยท Editorial standards
Removing an incorrect amount is not the same as removing its record. A cell shift can leave a plausible total while attaching the remaining amounts to the wrong IDs. This lesson uses one small table to make that failure visible before you edit important data.
Scope: Gnumeric 1.12.62 GTK desktop, English menus, targeting a disposable local Linux workbook. Instructions are checked against that release’s packaged manual and source. Expected cell maps and arithmetic are independently modeled, not observed Gnumeric output. No native GUI, Undo, formatting, save/reopen or other-version/platform parity test is claimed.
Prepare a checkpoint, not a live report
In a new empty worksheet, enter ID, Item, Amount, Note in A1:D1, then enter the following four records in A2:D5. Type the Amount entries as ordinary numbers.
| ID | Item | Amount | Note |
|---|---|---|---|
| R01 | Paper | 12 | keep-1 |
| R02 | Pens | 18 | replace-2 |
| R03 | Clips | 5 | keep-3 |
| R04 | Labels | 30 | keep-4 |
The baseline has four IDs, four numeric amounts and a total of 65. Check all four fields in each row, not just column C. Everything outside A1:D5 should be empty, including column E and rows 6โ8.
Save an untouched native .gnumeric checkpoint, then use Save As to make a separately named practice copy. For each operation below, start from another fresh copy of that baseline, or recreate the table in a new workbook. Do not apply the cases in sequence to one changing table. Verify the original four rows and total before each case, and never overwrite the checkpoint.
Keep this exercise free of hidden/filtered rows, merged cells, protection, arrays and side-by-side reports. A whole-row operation affects every column in the worksheet, not just the four table columns. In a real workbook, stop unless you can establish that the entire affected rows, including far-right content, are safe to move or remove. This lesson does not test dependent formulas or objects elsewhere in a workbook.
Choose the scope before the command
| Intent | English menu path | What changes |
|---|---|---|
| Empty a value while keeping its record | Edit โ Clear โ Contents | Removes the selected contents without shifting neighboring cells; distinct from Clear โ All |
| Remove a complete record from this isolated table | Edit โ Delete โ Rows | Removes whole worksheet rows; later rows move up together |
| Make room for a complete record | Insert โ Rows | Inserts whole worksheet rows above the selection; existing rows move down together |
| Deliberately shift only part of a row or column | Edit โ Delete โ Cellsโฆ or Insert โ Cellsโฆ | For a rectangular cell selection, offers local shifts or whole-row/column choices |
Use the menu paths in this lesson rather than guessing what a Delete key or a context menu will do. Clear โ Contents is documented to retain cell formatting; Clear โ All removes more than the value. Formatting retention is a check for your installed application, not a tested result here.
A complete row means selecting its numbered row label on the left, not merely A3:D3. Check that only the intended row is selected. Do not select a column header or the whole sheet and then choose Delete โ Rows.
Do not rely on a second confirmation. In the pinned source, Cellsโฆ dispatches a complete-row or complete-column selection directly to its corresponding structural operation, before constructing the cell-shift dialog. For partial rectangles, the initial shift option depends on the selection’s dimensions. Read and deliberately choose the option every time; Cancel if the selection or scope is wrong.
Case 1: clear the amount, keep R02
Start from the baseline copy. Select C3 only, finish any cell edit, then choose Edit โ Clear โ Contents.
Expected result:
- Row 3 is R02 / Pens / blank / replace-2. Blank is not numeric zero.
- R01 still owns 12 in C2, R03 owns 5 in C4, and R04 owns 30 in C5.
- All IDs, Items and Notes remain at their original addresses. A1:D1 is unchanged.
- Four IDs remain, but only three numeric amounts remain. The amount total is 47.
This is appropriate when R02 must remain but its amount is not yet known. It does not cancel the R02 record. If the next step is a corrected amount, enter that value into C3; do not shift another record’s amount into the gap.
Deliberately wrong contrast: delete only C3
Use a separate fresh disposable baseline copy. Select C3, choose Edit โ Delete โ Cellsโฆ, deliberately choose Shift cells up, then confirm the dialog. This is a demonstration of the wrong operation for removing R02, not a recommended repair on real data.
The expected amounts now belong to these unchanged IDs:
| Worksheet row | ID and Item stay here | Amount after the wrong shift | Note stays here |
|---|---|---|---|
| 2 | R01 / Paper | 12 | keep-1 |
| 3 | R02 / Pens | 5 | replace-2 |
| 4 | R03 / Clips | 30 | keep-3 |
| 5 | R04 / Labels | blank | keep-4 |
There are still four IDs and three numbers totaling 47, exactly as in Case 1. Yet R02 has taken R03’s 5, R03 has taken R04’s 30, and R04 has lost its amount. Even matching record count, numeric count and total do not establish correct field alignment. Discard this branch after inspecting the mismatch.
Case 2: remove the entire R02 record
Return to a fresh baseline copy. Confirm that no unrelated content occupies any column of worksheet row 3. Select the row label 3, verify that exactly one whole row is selected, then choose Edit โ Delete โ Rows. Do not substitute Clear โ Contents, which would leave empty cells rather than close the row gap.
Expect this complete A2:D4 result:
| ID | Item | Amount | Note |
|---|---|---|---|
| R01 | Paper | 12 | keep-1 |
| R03 | Clips | 5 | keep-3 |
| R04 | Labels | 30 | keep-4 |
R03 has moved from row 4 to row 3 with all four fields together; R04 is now in row 4. A5:D8 should be blank and the header row unchanged. There are three IDs, three numeric amounts and total 47. R02 and its Note must be absent, not left behind beside someone else’s amount.
If a real sheet contains a second independent table on these same rows, this whole-row method is not a safe default. Stop and plan the intended table-range operation separately rather than deleting unrelated records with it.
Case 3: insert a whole record before R02
Start from another fresh baseline copy. Select row label 3, check that only this one whole row is selected, then choose Insert โ Rows. One blank worksheet row is expected above the original row 3. Before typing anything, inspect A3:D3: it should be blank, while the original R02/Pens/18/replace-2 tuple is now in A4:D4.
Enter R05 / Folders / 7 / new-5 into A3:D3. Check the full A2:D6 result:
| ID | Item | Amount | Note |
|---|---|---|---|
| R01 | Paper | 12 | keep-1 |
| R05 | Folders | 7 | new-5 |
| R02 | Pens | 18 | replace-2 |
| R03 | Clips | 5 | keep-3 |
| R04 | Labels | 30 | keep-4 |
There are five IDs, five numeric amounts and total 72. The original records must retain their original Item, Amount and Note, even though three addresses changed. A7:D8 and column E remain empty; A1:D1 remains unchanged. A multirow selection would insert multiple rows, so check the selection before executing the command.
Opposite trap: insert only an amount cell
Optionally, in one more disposable baseline copy, select C3 only, choose Insert โ Cellsโฆ, deliberately select Shift cells down, and confirm. Do not enter a new record.
Expected C2:C6 is 12, blank, 18, 5, 30. A2:D5 still has the original IDs, Items and Notes: R02 is now missing its amount, R03 incorrectly has 18, and R04 incorrectly has 5. C6 contains an orphan 30 with A6, B6 and D6 blank. The full moved range C2:C6 still totals 65, with four IDs and four numeric values. An unchanged total does not make this an intact table. Discard this branch too.
Add fresh controls after each layout
First inspect the tuples and blank boundaries, then enter the relevant formulas below in unused cells F1, F2 and F3, respectively. These destinations are outside the practice table. Add them only after the operation; do not carry pre-existing formulas through a structural edit and assume their references adjusted correctly.
| Layout | F1: ID count | F2: numeric amount count | F3: amount total |
|---|---|---|---|
| Baseline | =COUNTA(A2:A5) โ 4 |
=COUNT(C2:C5) โ 4 |
=SUM(C2:C5) โ 65 |
| Clear C3 | =COUNTA(A2:A5) โ 4 |
=COUNT(C2:C5) โ 3 |
=SUM(C2:C5) โ 47 |
| Wrong delete-C3 shift | =COUNTA(A2:A5) โ 4 |
=COUNT(C2:C5) โ 3 |
=SUM(C2:C5) โ 47 |
| Delete whole row 3 | =COUNTA(A2:A4) โ 3 |
=COUNT(C2:C4) โ 3 |
=SUM(C2:C4) โ 47 |
| Insert whole row and R05 | =COUNTA(A2:A6) โ 5 |
=COUNT(C2:C6) โ 5 |
=SUM(C2:C6) โ 72 |
| Wrong insert-C3 shift | =COUNTA(A2:A6) โ 4 |
=COUNT(C2:C6) โ 4 |
=SUM(C2:C6) โ 65 |
COUNTA is useful here because the fixture’s IDs are nonempty text. COUNT counts numeric amounts, not text IDs. Neither proves uniqueness or alignment: compare every complete record with its expected row above. For the last trap, summing only the old C2:C5 range would miss C6 entirely.
Recovery and troubleshooting
- Wrong selection or operation: stop before making more edits. If available, use Edit โ Undo and inspect the restored cells, not just the total. Undo is session history, not a backup. If restoration is uncertain, close the practice copy without replacing the checkpoint, reopen the untouched checkpoint and create a new copy.
- Trying to repair deletion by inserting empty cells: this does not restore deleted values. Recover the data from Undo or the checkpoint; do not reconstruct IDs and amounts by guesswork.
- No shift dialog appeared: complete-row/column selections can act directly. Inspect what moved and use recovery if needed; do not repeat the command just to make a dialog appear.
- More rows moved than expected: check whether several row labels were selected, or whether a whole-row command was used on a partial selection. Whole-row commands are not confined to A:D.
- The total matches but a record looks wrong: trust the ID-to-Item/Amount/Note comparison. The deliberate traps show why aggregate-only validation misses damage.
- Menus differ or real data has filters, merges, arrays or protection: stop rather than extrapolate this fixture. The instructions are release- and scope-specific.
If you want to retain a successful branch, save it under a separate name, close it, reopen it and repeat its tuple, blank-boundary and fresh-formula checks. Record the installed version and observed results. Save/reopen and Undo remain learner acceptance checks, not completed tests behind this guide.

Its context-menu explanation distinguishes menus by pointer location; right-clicking is not a substitute for checking the selected cells. The release’s dedicated Deleting Data and Inserting New Data Cells chapters are unwritten stubs and were not used as procedural evidence.
