Customize the Quick Access Toolbar and ribbon view in WPS Spreadsheet
Arrange common commands, adjust ribbon visibility and practice a reversible keyboard editing workflow.
Documentation-based procedure; synthetic checks independently verified; no native application execution · Editorial standards
Quick answer: Open the Quick Access Toolbar’s drop-down menu to change its location, common commands and ribbon display. Make one change at a time, then test Save, Undo and Redo on a scratch workbook. This guide customizes the working view; it does not create custom ribbon tabs or reassign shortcuts.
Define a useful workspace
The goal is a compact editing setup with common commands easy to reach and a reliable way to recover from an accidental edit. Start in a Windows WPS Spreadsheet window matching the Docs Center’s Quick Access Toolbar instructions. The source does not specify a numeric installed build, and some visual results depend on window layout. The keyboard navigation section uses separately identified Academy desktop guidance; mobile and browser controls are not implied.
Before changing anything, note the toolbar’s current position, whether the ribbon is expanded, and whether group names are visible. Record the common command buttons already shown. These observations are your restoration plan, not settings to guess later.
Create a practice workbook containing A1=Workspace test, A2=Quantity, B2=5, A3=Price and B3=4. In B4 enter =B2*B3; its result should be 20. Save the workbook with a recognizable name before making interface changes.
Change the toolbar without losing commands
- Locate the Quick Access Toolbar below the title bar and open the drop-down arrow at its right.
- Inspect the available position choices. The Windows documentation describes top, below-ribbon and floating arrangements. Choose a position that does not obscure the cells you are working on.
- Reopen the menu at the toolbar’s new location. Add a useful common command from the offered menu, or remove an unneeded common command. Keep Save, Undo and Redo accessible for the test below.
- The source identifies Other Commands as an entry to further setup, but this exercise does not rely on an undocumented sequence inside that dialog. If the desired command is not available in the documented menu, stop there rather than following another WPS component’s customization instructions.
A successful change is one you can locate and reverse, not just a different-looking toolbar. If the toolbar seems missing, inspect both the title-bar region and the area below the ribbon before resetting anything.
Balance ribbon space and discoverability
Use the same menu’s display options to hide or show ribbon group names if useful. Then try the ribbon visibility or auto-collapse option. Only change one of these settings at a time so you can tell which action affected the view.
Open Home and confirm you can still reach the commands you need. The Windows quick-start guide also documents double-clicking a tab to expand the ribbon again. Restore an expanded view if the compact arrangement slows you down. The aim is to support your work, not to minimize every visible control.
Custom ribbon-tab creation is deliberately outside this guide: the available customization article mixes Spreadsheet and Presentation descriptions. Keyboard shortcut reassignment is also not established by the sources. Neither is needed for a useful toolbar and visibility workflow.
Test the controls with a known result
Select B2, change 5 to 6 and confirm the edit. B4 should become 24. Click Undo on the toolbar: B2 should return to 5 and B4 to 20. Click Redo: B2 should become 6 and B4 24 again. Save and check the file name before closing.
For a keyboard route back to the input, the Academy lesson describes entering an address in the name box. Enter B2 there and check that 6 is selected. Ctrl+Home returns to A1. These are navigation shortcuts, not commands you have reassigned through the toolbar menu.
Verify and restore
Reopen the practice workbook and confirm B2=6 and B4=24. Check the toolbar and ribbon layout separately; workbook saving and application-interface settings are different kinds of state, so do not assume a workbook carries the same layout to another computer.
Restore your recorded toolbar position and visibility settings if the new setup is not better. If Undo or Redo appears inactive, there may be no applicable edit to reverse or restore; repeat the controlled cell test instead of repeatedly clicking the button.
